The Rotman School is an internationally recognized centre of management research and education offering an innovative curriculum that integrates fundamental management insights and skills with transformational experiential learning. The School offers nine graduate programs focused on developing business and thought leaders equipped with the knowledge, and insights to change the world as we know it.

 

Under the general direction of the Director, Graduate Programs Admission and Awards, and working closely with the Director, Graduate Programs Recruitment, this position plays a lead role in ensuring admission operations and initiatives are aligned with the strategic goals of the Office of Recruitment, Admissions and Business Development within the highly competitive graduate business education market. This role involves managing admission operations, implementing efficient processes, leveraging technology, and collaborating with cross-functional teams to drive admissions success. The incumbent builds and leads a high functioning team of admission staff and works with Rotman colleagues to coordinate graduate business program admission process, shaping the student body by admitting, supporting, and retaining talented and diverse candidates. Leveraging key concepts of strategic enrolment management, the incumbent manages all operational aspects of admitting qualified business students to the Rotman School. Working within the following approaches: data-informed decision making, financial award optimization, retention initiatives and continuous improvement, the Associate Director will foster and maintain networks across the Rotman School of Management and University of Toronto to build capacity and collaboration.

 

The role will work closely with our IT department to integrate and enhance the use of the Customer Relationship Management system with the recruitment, admissions and awards process. The Associate Director will oversee a team dedicated to delivering reliable and timely high-level qualitative and quantitative data reporting and analytics. This supports strategic planing, policy formulation, and decision-making processes within the Graduate Programs. They develop short and long-term strategies aimed at providing stakeholders with robust data analyses and reporting, enabling them to make informed decisions based on student data. The Associate Director establishes a framework for assessing the success of student data and analysis projects, ensuring alignment with the mission and objectives of Rotman’s Graduate Programs. By providing strategic direction and guidance, they contribute to the continuous improvement and effectiveness of data-driven decision-making processes across all nine programs.

 

The incumbent will proactively address bias in the admissions process and promote an inclusive and equitable learning environment for all students. This will be done part in parcel with the rest of the work through the regular review of admission criteria, training of admission and recruitment staff, standardizing of processes, engagement with academic, alumni and EDIO stakeholders and continuous improvement. The role includes admission review and interview, as well as involvement with external graduate education organizations.

 

I.EDUCATION:

Bachelor’s degree with a focus on computer science or business Administration with a strong quantitative background or an equivalent combination of education and experience

 

II.EXPERIENCE:

A minimum of 5 years progressively work experience with technical skills in the field of computer systems, management, and system design. Experience in mapping suitable analytic solutions to ensure required performance data can be reliably tracked and reported. Thorough understanding of the business processes and functions related to higher education, preferably admissions, enrolment, financial aid, and/or awards. Experience in admissions and in student services; Demonstrated progressive University admissions experience with and excellent and thorough understanding of higher education systems and policies worldwide, and a similarly thorough understanding of university systems and policies as they relate to admission of graduate students; Experience in Admissions systems (ROSI & Salesforce); Demonstrated experience managing in a unionized environment; Demonstrated commitment to diversity issues; Experience in public speaking or staff training.

 

III.SKILLS:

Demonstrates strong leadership skills and possesses detailed knowledge of ROSI or similar systems. Experience with statistical analysis software such as Stata, SPSS, R, R-Studio, SQL, VBA, Python, as well as proficiency in data visualization tools like Tableau. Adept at systems thinking and problem-solving, they excel in managing multiple complex projects simultaneously, with excellent analytical and conceptual thinking abilities. Strong communication and presentation skills are essential, along with demonstrated interpersonal, organizational, and conflict-resolution skills. Familiarity with business intelligence structures and the ability to work effectively in ambiguous situations are also valued. Proficiency in MS Office and administrative software, along with experience using CRM systems, enterprise databases, and document management systems, is preferred. Knowledge of post secondary education programs and admission requirements is an asset.

 

IV. OTHER:

Ability to manage conflicting priorities and deadlines and respond to changing work priorities quickly and effectively; Ability to manage work and resources in a changing and often unpredictable environment, identifying options and finding solutions in response to urgent and immediate – and occasionally conflicting – requests from stakeholders; Must be extremely agile in responding to changes in application and acceptances rates, amended enrolment targets and new programs; this requires an ability to understand and consider immediately all the implications – internally and for all divisions – with the changes; Ability to persuade stakeholders to amend requirements where some concession would facilitate the meeting of broader university objectives; similarly requires an ability to see where opportunities for one or more stakeholders can lead to benefits for others.

 

Numerical accuracy and comfort in handling calculations and statistics; Current advanced knowledge of research and best practices in post-secondary admissions and enrolment management; Excellent interpersonal skills with the ability to communicate effectively and develop good working relationships with staff, senior university administrators and external client; Team-building and conflict management. Good knowledge of university policies and procedures; Ability to analyze complex technical tasks and implement solutions; Ability to think logically and consistently, plan and co-ordinate; Commitment to improving the work environment; Ability to work professionally and independently; Ability to manage emotionally charged situations (e.g. providing advice or dealing with issues involving upset or agitated students or members of the public) calmly and professionally; Superior organizational, interpersonal and communication skills; Ability to handle matters of a sensitive and confidential nature; Ability to manage numerous projects simultaneously and to assess relative priorities to complete tasks.
