We are currently seeking an HR Data Management and Systems Manager who will play a pivotal role in optimizing our HR systems and processes, driving efficiency, and ensuring data integrity across the organization. As a key member of various HR initiatives and projects, you will collaborate with cross-functional teams to implement scalable solutions on a global scale. Your expertise in HR systems and data management will be essential for unifying processes, enhancing reporting capabilities, and delivering actionable insights to support strategic decision-making. Additionally, you will drive the implementation of new HR systems according to business requirements.
You and the current Information System Team will be the first point of contact for colleagues inside and outside of HR on all topics related to global HR data and HR systems. You will also act as a contact person for data protection and IT committee topics related to HR systems and support the requirements for the Quality Management System ISO, ensuring compliance with legal requirements for the certification of quality management systems. You will be part of the existing Information System Team and report directly to the VP of HR Operations & Controlling (HR Analytics & Information Systems).
Essential Functions

System Optimization: Lead efforts to optimize existing HR systems, identifying areas for improvement, and implementing enhancements to streamline processes and enhance user experience.

Project Management: Manage end-to-end implementation of new HR systems and technologies, from requirements gathering to deployment, ensuring alignment with organizational goals and objectives. Responsibilities include- Scoping: Gather all details to be included in scope.
– Obtain necessary approvals from project boards and committees.
– Negotiate contracts with external implementation partners if needed.
– Establish an appropriate project team.
– Consult with all team members and establish a feasible timetable.
– Keep internal customers and external consultants informed on an ongoing basis.
– Regularly monitor project progress.
– Escalate and mitigate issues, if needed.
– Involve data protection and IT committees/Works Councils.
– Prepare needed communications, including training materials and emails.

Data Management: Oversee the integrity, accuracy, and security of HR data, developing and implementing best practices for data governance, data quality, and compliance.

Process Improvement: Identify opportunities to standardize and automate HR processes, leveraging technology to drive efficiency and effectiveness.

Cross-functional Collaboration: Partner with HR stakeholders, IT teams, Reporting & Analytics, and external vendors to align system capabilities with business requirements and drive continuous improvement.

Training and Support: Provide training and support to HR teams and end-users on system functionalities, ensuring optimal utilization and adoption.

Compliance and Risk Management: Stay abreast of regulatory requirements and industry trends related to HR systems and data management, ensuring compliance and mitigating risks.

Ensuring Data Quality: Implement data validation points and conduct data clean-up globally.

Daily Operations: Oversee the daily operation of HR systems and drive the implementation of new core HR systems.

Labor Regulation Compliance: Ensure all HR-related systems are regularly updated and compliant with labor regulations.

Knowledge Base Maintenance: Maintain our Workday Knowledge Base and HRIS intranet site, including the creation of required training material.

Consultation and Negotiation: Consult and negotiate with data protection and IT committees/Works Councils.

Quality Management: Maintain ISO-ARIS processes as part of the Quality Management system and coordinate with local HR representatives ahead of internal and/or external audits.

Support: Provide second-level support as Workday Admin, resolving end-user tickets across all modules.

Reorganizational Support: Support reorganizational issues and M&A activities by providing data and performing analytics.
Minimum Requirements

Bachelor’s degree in human resources, Information Systems, Informatics, Business Administration, or related field, is considered an advantage.

Minimum of 6 years of experience in managing HR systems administration, data management, or related roles.

Proficient in written and verbal English communication

Proven experience leading HR system implementations and optimization projects on a global scale.

Strong understanding of HR processes, policies, and regulations.

Proficiency in Workday, SAP SuccessFactors, Oracle HCM Cloud, and related technologies is a must. Advanced IT skills, including high-level knowledge and experience in reporting, modeling, statistical analysis is an advantage; experience in working with and improving reporting functionalities or Microsoft Power BI or a similar BI tool is an additional plus skilled in advanced Microsoft Excel functions and good knowledge of Microsoft Word and PowerPoint
