With supervision from the Associate Head of Education and Education Office Manager, the Program Assistant will provide administrative support to the education unit within the Department of Psychiatry. Duties will follow established guidelines within various residency/fellowship training programs. The Program Assistant will support activities involving recruitment, on-boarding, preparing and maintaining schedules, evaluations, off-boarding, and on-going day-to-day activities.
Duties & Responsibilities:Provide administrative support to the Directors of educational programs in Psychiatry by assisting with activities related to administration of Psychiatry’s educational programs. Support and assist in coordinating the annual recruitment, orientation, and graduation activities.
Assist tracking and maintaining the trainees’ clinical and didactic schedules and evaluations. Aid program staff with the compliance of trainees onboarding and offboarding at all clinical sites, including university compliance standards and initial onboarding during orientation and the final offboarding process. Assist program leaders with ensuring programs’ compliance with accreditation, licensing board, professional association requirements.
Update and compile the databases for trainees’ vacation and time off. Help prepare and process other program related forms (verifications of training, credentialing, letters of good standing). Process financial transactions including, but not limited to, P-card and T-card purchases, iBuy, invoice vouchers, TEM, ordering of office supplies for education programs, etc.
Perform other related duties and participate in special projects as assigned. Minimum Qualifications Required:Bachelor’s degree. Demonstrated knowledge of a variety of accreditation standards in medical, psychiatry, and psychology education fields.
Any experience in accreditation standards in medical, psychiatry, or psychology education fields. Preferred Qualifications:Two or more years of college work, minimum 6 months experience in higher education setting. Organizational and analytical skills.
